Line Item Overview

Line items are the physical items required for the order.
Line Items can be generated from either 1.) ARTSCO order forms or 2.) from importing a special version of a manufacturer quote file. ARTSCO order forms include fillable versions of manufacturer order forms and parts lists or custom created lists of inhouse or other manufacturers not included in the system.
Most information in a line item can be edited to a custom value to suite any special requirements. A check in a Mod column indicates the default value was changed.
If a fee for service insurance is used, the allow value is the fee times the Detail Quantity. The Order Quantity value has no affect on the allow value in the line items. Any calculations involving the Order Quantity must be performed on a form. The following codes designated as pairs will ignore the Detail Quantity value and generate the allow value directly from the insurance fee: E0988, E1010, K0020, K0079, K0080, K0100, K0195.
Codes can be specified in RxAdmin to automatically change the line item code for specified insurance plans. In RxAdmin in the Billing Multiplier and Show Order page, adding an extra column in the grid called Code Swap. To set up the code swap for a particular plan you would enter text in the associated cell with the following example format: E2300>E2298,<other codes here>,<other codes here>,etc. This would change E2300 to E2298 for example for the specified insurance and plan. Note that the changed Code Mod value is not checked as would be the case if the user changed the Code directly.
Make sure to click the lower right 'Save Changes' button to save any line item edits.

Options

  1. Mode: Determines the action (see Mode in Action section below) performed on the line items - For actions requiring selection of rows, select rows then click the execute (right arrow) button to the right of the Mode drop down list
  2. View: Determines how rows are grouped (by manufacturer and model) or columns are frozen (only columns to the right of frozen columns scroll right and left)
    1. Group: Groups line items by manufacturer and model - The header row for each group is the manufacturer name and model name separated by a comma
    2. Freeze Part Number: Only columns to the right of the part number column scroll right and left
    3. Freeze Description: Only columns to the right of the description column scroll right and left
    4. Freeze Retail: Only columns to the right of the retail column scroll right and left
    5. Freeze Codes: Only columns to the right of the code column scroll right and left
  3. Show Mods: Shows (or hides if unchecked) the modified check box column if checked - A checked modified cell shows the preceding cell was modified from the standard value - if for example you change the allow value, the following modified cell is automatically checked - If the modified cell is manually unchecked the preceding value returns to the default value after the changes are saved.
  4. Hide Model: Hides (or shows if unchecked) the Model column if checked - Used to show more of the other columns if the model column information is not necessary for a particular order, for example if there is only one manufacturer and model
  5. Show Hidden: Shows (or hides if unchecked) the rows marked as hidden - Rows can be marked as hidden to prevent unwanted rows from showing on forms - See Hide under Mode in Action section below

Actions

  1. Fill Order Form From Saved Configuration File: Save line items for an order and import the line items in a new order. Saves time by automatically generating line items for common configurations.
  2. Open Order Form: Open the order form from the associated line item row by right clicking on the row then clicking on the 'Open Form' pop up menu item.
  3. Set Custom Column Order: Customize the column order by dragging the column headers right or left - The new column order is automatically saved for the device
  4. Group Or Freeze Rows: Group rows under a header row for each manufacturer and model or hold left columns stationary while horizontally scrolling the line item grid
  5. Show Mods Column: Show or hide the modified checkbox column. A checked modified cell shows the preceding cell was modified from the standard value.
  6. Hide Model Column: Shows or hides the Manufacturer, Model column. Used to see more columns in the grid if the line items are all from the same manufacturer and model.
  7. Show Hidden Rows: Shows or hides the rows marked as hidden. Rows can be marked as hidden to prevent unwanted rows from showing on forms.
  8. Mode:
    1. Edit: Override line item default values.
    2. Edit Advanced: Override line item default values and look up HCPCS codes and ICD codes.
    3. Delete: Delete line items.
    4. Update: Update line items.
    5. Import: Instead of manually filling order forms, import a manufacturer file or pre-saved configuration.
    6. Open Order Form: Open the order form associated with a line item row.
    7. Export: Export file containing line items for an order. Used to import often used configurations into other future orders.
    8. Hide: Mark line items as hidden - Rows can be marked as hidden to prevent unwanted rows from showing on forms.
    9. Justify: Select just the justifications that should appear when generating the LMN.
    10. Bundle: Rolls up (bundles) the codes, allowables, retail, and bill of a group of line items into one main line item.
    11. Bundle Code: Changes the main line item in a bundle to the selected row.
    12. Bundle Clear: Clears all bundled rows in the order.
    13. To Top: Change selected row order to appear as the first row in the grid.
    14. Move Up: Change the row order of selected rows to appear higher in the grid.
    15. Move Down: Change the row order of selected rows to appear lower in the grid.
    16. Default Order: Clear any custom row ordering and return to the default row order.
    17. Make Copy: Make an exact copy of a specific row in Line Items.
    18. Retail From Cost: Set retail as a multiplier of cost.
    19. Lock Retail: Sets all retail Mod values for all line items, essentially locking the retail value from changing if the related order forms are updated by ARTSCO and the user subsequently edits something on any line item. Used when line items are quoted by the manufacturer and the retails should stay at the quoted values. Using the "Lock Retail" mode retains the previously quoted retail values even if ARTSCO updates the order form then the user updates any line item.
    20. Multiply: Multiply columns (Retail and Allow for example) by a specified value (2 for example). The multiplication can also only affect rows with specific codes (only K0108 items for example) if desired.
    21. Lock Cost: Sets all cost Mod values for all line items, essentially locking the cost value from changing if the related order forms are updated by ARTSCO and the user subsequently edits something on any line item. Using the "Lock Cost" mode retains the set cost values even if ARTSCO updates the order form then the user updates any line item.
    22. Synch Codes: Copies any modified primary codes on a line item to any existing 2nd, 3rd, and 4th codes. The entire modified code is copied including the 5 digit code and any modifiers. Only 2nd, 3rd, and 4th codes that already exist are replaced (any blank code will remain blank). The associated allowable values of the replaced codes are automatically recalculated.
